I know very well, these lessons posted in the blog will certainly not a substitute for a lesson taught in the conventional class room with board and chalk and other teaching aids.
Lockdown has forced you to learn the lessons by yourself by some other means.

Question:
Imagine that you are a safety engineer in a cement factory. There has been a fire accident in the factory and one of the workers has been badly hurt and is in the hospital. Your general Manager has asked you to send him a detailed report on the accident with your recommendations for averting a similar accident in the future. Prepare a report accordingly.

A REPORT ON THE FIRE ACCIDENT

1.TERMS OF REFERENCE:
    You have asked me  to send you a detailed report on the fire accident that took place in our factory
    at 11 p.m. on 14 April 2020 with my recommendations  to avert a similar accident in future through
    your memo dated 15 April 2020.
2. PROCEDURE:
    a. Several visits were made to the fire accident spot.
    b. The employees who were at the site at the time of the accident were interviewed.
    c. A discussion with the chief electrical engineer was made.
    c. Suggestions for averting such accidents were collected from the employees as well as department   
        engineers.
3. FINDINGS:
   a. Due to a short circuit, there was a fire accident around 11p.m. on 14 April 2020. It seems enough precautions and preventive measures had not been taken to provide for safety in such circumstances. The fire spread rapidly burning and damaging several materials kept in the store room which is close to the place where fire broke out.
  b. The electrician, Mr. Raman, who was on duty sustained serious I juries and was rushed to the company hospital. After giving him first aid, he was transported to government head quarters hospital. His condition is critical.
  c. Three more employees on duty, Mr. Gopal, store keeper, Mr. Ashok, store clerk, and Mr. Vijay, night watchman sustained minor injuries and were given first aid.

4. CONCLUSION:
  a. Short circuit was the cause for the accident.
  b. Enough precautions and preventive measures had not been taken.
  c. The security department acted swiftly to attend the persons involved in the accident.
  d. Over heating of electric equipment and the electrical short circuit were the two main reasons for the fire accident.

RECOMMENDATIONS:
   a. Temporary wiring and overloading of equipment should be avoided .Only approved electrical equipment should be used. Proper earthlings and overload protection devices should be installed to prevent electrical faults. Electrical installation should be periodically checked by a competent and certified person
   b. Gas cutting and welding operation should be avoided near areas where highly inflammable or highly combustible materials are stored.
  c. Fire extinguishers must be provided at strategic points.
  d. Proper means of passage by which the people in the building may reach a place of safety  should be provided.

1. TERMS OF REFERENCE:
    The purpose of the report is to study the facilities available for sports and games in our college with a view to suggest creating more facilities. This report is prepared in accordance with your directions. The scope of the report is to study the present facilities and to offer my recommendations to improve the existing facilities.

2.PROCEDURE:
   a. A visit was made to all the play grounds .
   b. The physical director, the principal, the AO, and the student representatives of all the classes were
        Interviewed personally.
  c .A questionnaire was given to a few students at random and their views and opinions were collected

3.FINDINGS:
 a. There is a basket ball court with concrete floor and wooden boards  Nearer to the basket ball court, there is a volley ball court. It is a mud court.  Next to the volleyball court, there is a well- marked court for playing kabaddi.  There is a provision for a long jump pit but it is kept unused. There is a food ball court and around the foot ball court, provision is made for a 200 metre track. There are two courts for hockey, laid in front of the library and close to the road that leads to the college. There is an open badminton court in the academic block. All these courts are in the college campus.

b. There is also provision for indoor games like, chess, carom, and table tennis.

C .Facilities exclusively for girls are not available.

d. All the facilities available in the college campus are being mostly used only by boys.

4. CONCLUSIONS:
  Though facilities available for sports and games are plenty, these facilities are being utilized only by boys. Girl- students are of the view that there must be courts available exclusively for girls, preferably in the hostel campus .Kabaddi  players feel that there must be provision for a water tape in order to maintain the court by the players  themselves, in the absence of a marker. The physical director wishes that one or two markers might be appointed in order to maintain all the courts intact. Faculty members
Prefer to have a recreation hall exclusively for them.

5. RECOMMENDATIONS:
   a. Almost all the interviewees wish to have a multipurpose indoor stadium in the college campus.
   b. Trained coaches should be appointed to give additional practice.
  c. Steps should be made for the creation of one or two tennis courts.
  d. The management should come forward to construct a swimming pool.

1. TERMS OF REFERENCE
      Last week you asked me to investigate the reasons for the fall in attendance at the concerts and
      Submit a report with recommendations.

2.PROCEDURE:
     a. The attendance details of the previous year were obtained.
     b. Members of the academy and some other well wishers were interviewed
     c. A questionnaire was sent to all the current members and also those who discontinued membership
    in the last 12 months.

3. FINDINGS:
    a. The attendance figures in the previous year were as follows:
             First quarter                 3000
             Second quarter            2400
             Third quarter                1900
             Fourth quarter             1300
b.          Majority of the members are of the opinion that the quality of music has deteriorated and that
they miss the talents of the previous era.

Most of the artists  who performed in the last two years actually experimented on stage in the
Name of innovation.

Lack of discretion in the choice of programmes

Inadequate communication. Members were not informed of the last minute changes in concert
Schedules and also about the change in artistes sometimes

4. CONCLUSIONS:   
              Attendance  at concerts shows a noticeable decline because of dissatisfaction with the quality
              of music and administrative lapses in sending communication to the members and the
               general public. Failure to redress them may lead to a further decline in membership and might
               gradually erode the reputation of the academy.

5. RECOMMENDATIONS:
             1. The organizing committee should be objective in their selection of programmes and artistes
                 and should set aside personal preferences.
             2. There should be a wide range of programmes.
             3. Members should be informed of the concerts for a whole quarter and changes in them, if any,
                should be notified in the press immediately.
            4. There should be a campaign for enrolling life members.
            5. A number of schemes should be planned to attract membership.
            6. The programme should be given wider publicity.

What is a report?
A report is actually a piece of writing, based on evidence, containing organized information on a particular topic.

Characteristics of a good report:
·         A report can be oral or written.
·         A report has a structured format.
·         A report presents an analysis of facts after careful investigation.
·         A report is precise and concise.
·         A report is written in an impersonal style.

Purpose:
Reports are written for a number of purposes. They are written primarily to give information and facilitate the process of decision making.


Reports are also written
·         To make a record of events
·         To assess a situation/ event
·         To persuade someone about the need for a certain action
·         To make a recommendation
·         To evaluate the progress of a project



Template of a Short Formal Report:

1. TERMS OF REFERENCE/ INTRODUCTION
     This section addresses three aspects:
             1, Why the report is written
             2. Who it is written for
             3. What the scope of the report is

2. PROCEDURE:
      In this section, the writer explains the procedures used or the process involved. For example, visit to places/ sites, interviews with people and so on.

3. FINDINGS:
    This is the main part of the report because it gives facts and evidence collected by following the procedure.

4. CONCLUTIONS:
   The inferences drawn from what is mentioned in he previous section are presented here.

5. RECOMMENDATIONS:
    This section is optional. If the writer has been asked to make suggestion or recommendations, they will be presented here



LANGUAGE FOCUS:
1. Terms of reference:
                The sentence used in this section has two parts to it- topic+ purpose of a report.
A typical sentence construction here would be: The purpose of this report is to study the facilities available for sports and games in Park College of engineering and Technology

2. Procedure:
                Use past tense and passive voice in this section
3. Finding:
The findings in a report are generally presented in an impersonal style. Therefore the use of personal pronoun is avoided .Advised to use passive voice and reported speech.
4. Conclusions:
                Use of the present simple or past simple is preferred.
5. Recommendations:
                The key point here is the prominent use of the modal auxiliary verb ‘ should’
